Patient Payment Terms

1. Merchant of record is the practice
When you pay a balance through a PodScribe-hosted pay link, statement link, or portal pay button (once a practice enables those features), the treating practice is the merchant of record. Charges are processed on the practice's own Stripe Connect account. Money settles to the practice, not to PodScribe.
PodScribe LLC is the software vendor. We do not take patient payments onto PodScribe's own merchant account. Your card statement should name the practice (or the name the practice configured with Stripe), not a PodScribe store.
2. What you are paying
You are paying the practice for amounts the practice has billed you (for example a statement balance or a requested copay). PodScribe does not set your fees, does not decide medical necessity, and does not replace the practice's billing office.
3. Receipts
A receipt, if one is issued, comes from the practice or from Stripe acting on the practice's connected account. Whether Stripe emails a receipt is a setting on the practice's own Stripe Dashboard. PodScribe may also send a practice-branded notice when that feature is enabled. Keep copies for your records.
Questions about a charge on your card should start with the practice named on the statement, not with PodScribe support.
4. Disputes and refunds
Direct disputes, refund requests, and billing questions to the practice. The practice owns the charge, the chart, and the payment policy.
Refunds, if the practice issues any, are issued by the practice according to that practice's own policy. This page does not create a PodScribe refund right, and it does not promise a self-serve refund button in the product.
If you open a card-network dispute, your bank will typically contact the practice as merchant, not PodScribe.
